Communication Checklist

As your team works to promote events and resources, review the communication checklist for all available divisional and UA resources available to share your message. Be sure to submit these designs to the communications team for review so they can check branding, accessibility, proof read, and more!

For design help with any of the following communications, submit a communications request form. You can also use Canva for any quick design needs!

Social Media

Suggested promotion schedule

  • 2 weeks ahead – post announcing event
  • 4 days to 1 week ahead – post that reminds people about the event
  • Day before – Don’t forget about X
  • Day of event – Share previous day’s post (or any of the previous posts with info about the event) to Stories with “It’s happening today” verbiage added to Story
  • Next day to one week later – recap event, thank everyone for coming

Want your event shared on SL social?

  • Work with your department’s Student Life Communications liaison to request that it be added to our content plan.
  • 30-day notice needed to share post
  • Shorter notice events may be included on Instagram and Facebook Stories and/or Twitter. You can tag us (or other departments) on social media!

UA News Center/ Inside UA

Fill out the form to submit to both UA News Center and Inside UA newsletters. Indicate in the box if the news is for Inside UA. For more information, please review the guidelines, and if you have any remaining questions, contact Laura Braddick. If creating a graphic the size is 600 pixels wide by 200 or 300 pixels tall.

Flyers

For design help, submit a communications request form two weeks prior to when you need design in hand. To have flyers in residence halls, submit to Janine McGee in Housing. Have flyers approved and delivered to HRC office at least seven days in advance of event.

Digital Signage

Submit a 16:9 design to OIT. Ads are distributed every Thursday, so must be submitted the Wednesday before no later than 5 p.m.

University Calendars

Submit events to mySource calendar and/or the University calendar. Submissions to the mySource calendar are automatically shared with the University calendar.

Divisional Newsletter

Submit a Divisional Update form by 10 a.m. the Friday before you would like the announcement to appear in the newsletter the following Monday.

UA Crimson Connection

Parent & Family Programs has a successful communications platform for reaching UA families (and students via families). It’s a great place to share student deadlines and action items! You can submit an announcement to the UA Crimson Connection or email Dana Bekurs and she will make sure your submission reaches UA families.

Yard Signs

Submit Ground Use Permit 10 days in advance of when you want to post signs.

Student Media Advertising

The Student Media Advertising team can include content in the Bama Life student newsletter, on Crimson Ride buses and in Student Media outlets (The Crimson White, Nineteen Fifty-Six, Alice Magazine, etc.). These options vary in price and in efficiency for shorter turnaround times.
